WeAreDocs is operated by Physician Pathway Solutions, LLC ("PPS," "we," "us," or "our"). This Privacy Policy explains how we collect, use, and protect information when you use the WeAreDocs physician-placement platform, including email and text (SMS) notifications related to your application.

Information we collect

We may collect:

  • Account and contact details (name, email address, and mobile phone number you provide).
  • Application and professional information you submit through the WeAreDocs portal (education, licensing, work history, documents, and related intake answers).
  • Communications and notification preferences (including email and SMS opt-in / opt-out choices).
  • Technical and usage data needed to operate the service (for example, authentication identifiers and basic request logs).

How we use information

We use this information to:

  • Operate the WeAreDocs placement workflow and match candidates with opportunities.
  • Send transactional notifications about your application by email and, when SMS is enabled for your account, by text message.
  • Provide customer support and respond to inquiries.
  • Maintain security, prevent abuse, and meet legal or regulatory obligations.

Mobile numbers and SMS

We may send transactional SMS messages about your WeAreDocs application when you opt in. On the public SMS consent page at /sms-consent (and on the signed-in intake form or portal contact settings), you opt in by entering your mobile number and checking an optional, unchecked-by-default box agreeing to receive transactional texts from WeAreDocs. Providing a phone number alone does not enable SMS on the website path. Separately, WeAreDocs staff may collect a mobile number as part of your candidate record; you may receive service SMS (including an invitation text) when that number is collected for communications and/or when you continue onboarding after an invite. Message types may include invitation messages, application and status updates, agreement or signature reminders, screening-call booking notices, and messages from WeAreDocs staff related to your application.

We do not sell or share mobile phone numbers with third parties for their own marketing. Mobile numbers are used only to operate WeAreDocs notifications and related service providers that help us deliver those messages (for example, our SMS delivery provider).

Message frequency varies. SMS is transactional and event-driven — not a daily marketing program. Typical volume is a few messages over the course of an application, depending on your activity and stage in the process. There is no fixed daily cadence.

You can stop SMS at any time by replying STOP to any WeAreDocs text. Reply HELP for help. Signed-in candidates may also manage SMS preferences in their portal account settings. Opting out of SMS does not delete your candidate record or cancel an application in progress; it only stops text messages.

Sharing of information

We share information only as needed to operate WeAreDocs: with service providers who process data on our behalf (for example, authentication, email, SMS, document storage, and e-signature providers), with client organizations when you are referred for placement opportunities consistent with the platform's purpose, or when required by law. We do not sell personal information.

Retention and security

We retain information for as long as needed to provide the service, maintain records of your application, and meet legal obligations. We use administrative, technical, and organizational measures appropriate to the nature of the data we process.

Your choices

You may update contact details and notification preferences in your WeAreDocs portal when you have an account. For privacy questions or requests, email info@wearedocs.com.

Changes

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the latest revision. Continued use of WeAreDocs after changes become effective constitutes acceptance of the updated policy.
